


Dear participants,
The Sámi Parliament in Finland, the European Parliament and the Finnish Presidency of the Barents Euro-Arctic Council look forward to welcoming you to the Summit of Barents Euro-Arctic Indigenous Sámi People, that will take place between 22-24 March in Brussels.
Please find hereunder some practical information to ensure a smooth arrival at the event.
Practical information
ARRIVAL AND DISTRIBUTION OF ACCESS BADGES
Please make sure to bring the confirmation email with you, together with a valid passport or ID card.
If during the registration you indicated that you require an access badge to enter the European Parliament, you may collect it at the Info Hub (see location on map attached), on Wednesday 22 March between 14.00 and 18.30 and on Thursday 23 March between 08.00 and 11.00. Those who arrive later should address the EP Accreditation office.
Your badge is valid for three days (from 22/03 to 24/03), so if you collect it on 22 March, you do not have to pass by the Info Hub again on the second day.
Please note that it takes at least 20-30 minutes to complete the security check and to arrive at the conference room. Therefore, please make sure to allow enough time.
ALL PARTICIPANTS
• are required to show a valid identity card or passport before entering the building;
• are required to undergo security controls at the entrance area;
• are advised to carry the invitation letter or any other document that clearly indicates their participation at the conference.
• keep in mind that bringing as little luggage as possible will facilitate and speed up the security checks.
Participants must ensure that their access badge is clearly visible throughout their stay in the European Parliament.
SPEAKING TIME
Please note that during the Q&A sessions, speaking time will be limited with an aim to ensure that as many participants as possible will have an opportunity to join in the discussion. The moderator will endeavour to ensure a broad participation from both onsite and online participants and may adapt the speaking time during the discussion in accordance with the number of requests for the floor received.
CLOAKROOM
Coats/luggage may be left (unguarded) on the coat racks outside the meeting room. The European Parliament declines responsibility for any loss or theft.
TAXI/PUBLIC TRANSPORT
A taxi rank and a bus stop of the Brussels airport line are located at Place Luxembourg, close to the "Espace Simone Veil” entrance of the European Parliament. More information about public transport in Brussels is available at http://www.stib.be/index.htm?l=en

OPENING OF A SAMI ART EXHIBITION IN THE EUROPEAN PARLIAMENT ON 22 MARCH AND DINNER RECEPTION AT THE THON HOTEL EU ON 23 MARCH
On Wednesday 22 March, opening of a Sámi art exhibition will take place at 18.00, at the European Parliament, Exhibition space “Bar Area”, 3rd floor, Altiero Spinelli Building (ASP), followed by an evening reception.
After the second plenary session on Thursday 23 March, a dinner reception, hosted by the Sámi Parliament of Finland and the Finnish Presidency of the Barents Euro-Arctic Council 2021-2023 will take place at 18.00, at the Thon Hotel EU, Rue de la Loi/Westraat 75, Ballroom “Belgium”.
ACCOMMODATION
Group reservation was made at the Thon Hotel EU, Rue de la Loi/Westraat 75, for 22-24 March 2023. Deadline for hotel booking expired on 22 February 2023. Please, contact the hotel directly to check rooms’ availability after this date if you need accommodation.
